Getting started

What actually happens when I start the free 30 days?

Three steps, and only the first one needs you.

  1. You tell us your store, your register type and how to reach you.
  2. We connect RTN to your existing register — no new hardware, no replacement, nothing uninstalled. Most stores are reading live data the same afternoon.
  3. AURA starts learning your store. She is useful on day one and noticeably sharper by the end of the first week, once she has seen a full cycle of invoices, deliveries and shifts.

Nothing is charged during the trial, and nothing charges automatically when it ends.

Do I have to replace my POS or buy hardware?

No. RTN runs alongside your existing Gilbarco Passport, Verifone Commander, Wayne or NCR register. We read from it and, when you approve a change, write back to it. Your cashiers keep working exactly as they do today — most of them never notice anything changed.

What do I need to have ready before we start?

Very little:

  • Your store name, address and register make/model.
  • Your manufacturer scan-data account numbers, if you already file — and if you do not, we will set them up with you.
  • A contact who can approve price changes. That is usually you.

You do not need to clean up your price book first. Sorting that out is one of the first things AURA does.

How long until this is actually saving me time?

Day one you can ask her anything about your store and get a real answer instead of running a report. The bigger wins — scan data filed automatically, cost changes caught before they eat your margin, rebates chased — land inside the first two weeks, because those depend on her having seen a full delivery-and-invoice cycle.

AURA, your AI store manager

What is AURA?

AURA stands for Automated Unified Retail Assistant. She is the AI store manager built into RTN — twenty years of convenience-store back-office practice, on duty in your store around the clock.

The difference from every other back office is the direction of travel. Other software gives you more screens and waits for you to find the problem. AURA reads the store all day and brings the problem to you, in plain English, with the fix already drafted.

How do I talk to her?

Sign in and ask, the way you would ask a manager. “Why is my cigarette margin down?” “Did my scan data go out?” “What should I charge for this?” “Who are my best customers?”

There is nothing to learn and no menu to memorise. If she does not understand, she asks you rather than guessing.

Can she make changes on her own?

No — and that is deliberate. Anything that changes a price, places an order or files with a manufacturer is prepared by AURA and then stops at your approval as a one-tap decision. You see exactly what will change, from what to what, before it happens.

She never moves money on her own initiative. Not in the trial, not after.

How do I know she is not making numbers up?

Every figure she gives you traces back to a source she will show you — an invoice, a register transaction, a bank line, a manufacturer file. Tap it and you land on the document.

And when she cannot read something, she tells you she could not check it. She is built never to hand you a comfortable answer in place of an honest “I do not know”, because a confident wrong number is worse than no number.

Will she flood me with alerts?

No. The rule she works to is simple: if it does not make you money or save you money, she stays quiet. Alerts you learn to ignore are worse than no alerts at all, so the bar to interrupt you is deliberately high.

Is my store's data used to train anything, or sold?

No. Your store's numbers are yours. We do not sell them, and we do not pool them into a product other people buy. You can export everything you have at any time, including on the day you leave.

Signing in, passwords and access

I forgot my password.

On the sign-in screen, type your email address in the email box and then tap Forgot password?. If self-service reset is switched on for your account, a reset link arrives by email and expires after 30 minutes.

If it is not switched on yet, the screen tells you so plainly and gives you the direct route: email admin@rtnsmart.com or call 855-396-1776 and we reset it while you wait. We will never make you guess whether an email is coming.

What does “Remember me” do?

Ticked, your email is filled in next time and your session survives closing the browser — convenient on your own laptop or the back-office PC.

Unticked, nothing is remembered and the session ends when you close the browser. Use that on a shared or public computer.

Can I sign in with Google?

The sign-in screen shows a Continue with Google button whenever your account is set up for it — it appears automatically, so if you do not see it, it is not yet enabled for you. Email or call us and we will turn it on.

We show the button only when it will actually work. A sign-in option that fails when you tap it is worse than not offering it.

How do I add my manager or a second person?

Call or email us with their name and email address and we will add them with the right level of access — a manager can run the day-to-day without being able to change your prices or billing. Self-service staff management is in build; today it takes us a couple of minutes and no downtime.

Am I signed out automatically?

Yes. An idle session ends on its own, which matters because the back office is often left open on a counter PC. Signing back in takes a few seconds and puts you back where you were.

Scan data & manufacturer programs

Which manufacturer programs do you handle?

All three of the majors, from one place: Altria/AGDC, RJR and ITG. Files are prepared, checked and filed on schedule every week, and acceptance is tracked back so you know they landed.

What happens if a file is rejected?

You are told, with the reason and the specific lines involved — not a red badge with no detail. In most cases AURA has already worked out the cause (a UPC that is not on the program, a pack/carton link missing) and has the correction ready for you to approve.

Could I ever over-claim by mistake?

This is the one we take most seriously. Claiming more discount than your register actually rang is the mistake that costs a retailer their manufacturer programs, and it is far worse than claiming too little.

Every file is checked against the register before it leaves, and a file that claims more than the register supports does not go out — it stops and tells you. You never have to take that on trust.

Do you chase the money the manufacturers owe me?

Yes. What was submitted, what was accepted, what was paid and what is still outstanding are reconciled for you, so a rebate that quietly never arrived shows up as a number rather than as nothing at all.

Loyalty & your customers

Do my customers need an app?

No. A phone number at the register is enough to earn. There is an app for customers who want their receipts, offers and card in one place, but nothing depends on them downloading it.

Who pays for the discounts my customers get?

Wherever possible, the manufacturer does — not you. The panel shows you exactly which discounts are funded by a manufacturer program and which come out of your own margin, so you can see the difference at a glance instead of assuming.

Can I run my own promotions?

Yes — and AURA will tell you what a promotion actually did to your margin afterwards, in dollars, rather than leaving you to guess whether it was worth running.

Billing, trial and cancelling

What happens at the end of the 30 days?

Nothing automatic. There is no card on file to charge. We talk, you decide, and if you carry on you pick a plan then. If you do not, we help you export your data and that is the end of it.

Is there a contract or a setup fee?

No contract, no setup fee, no hardware to buy. Month to month. Cancel whenever you like.

What if it does not beat what I already use?

Then you keep what you have and owe us nothing — that is the whole point of running the trial alongside your current system rather than instead of it. We would rather you find out in 30 days than in a year.
